Invite people and manage member access
Manage Users shows who belongs to the active Space and what access each person has. Use it to invite people, review invite status, update roles, remove access, restore deleted members, and manage invite codes.
Use Manage Users when you need to:
- Invite one or more people by email.
- Generate an invite code or invite link.
- Search the member list.
- Review member status such as Pending, Active, Declined, or Deleted.
- Change a member role when your permissions allow it.
- Delete or restore member access.
Terms you may see:
- Invite opens the member invite dialog.
- Email invite sends an invite to one or more email addresses.
- Code invite generates a reusable invite code/link for a selected role.
- Role controls what the user can view, create, edit, delete, or manage.
- Status shows whether the user is Pending, Active, Declined, or Deleted.
- Manage Users access is required for member-management actions.
Before you start
- You need permission to view Manage Users.
- Inviting, removing, restoring, or changing roles requires edit access for member management.
- The invited user must use the intended email or sign-in method to accept the invite.
How member invites work
- Open Settings.
- Open Manage Users.
- Use search to find an existing member or invite.
- Use Invite to add a new person by email or create an invite code/link.
- Use the role selector or member actions to update access.
- The member list refreshes after invite, delete, restore, or role-update actions.
Expected outcome: The right people have the right Space access, and invite status is visible from one place.
Invite people by email
- Open Settings.
- Open Manage Users.
- Choose Invite.
- Select the Email tab.
- Enter one or more email addresses in the email field.
- Separate multiple emails with commas.
- Choose the intended Role.
- Choose Send Invite.
- Confirm the member appears with Pending status.
Expected outcome: Each valid email receives an invite. The app shows Invite Sent for successful invites.
Generate an invite code or invite link
- Open Settings.
- Open Manage Users.
- Choose Invite.
- Select the Code tab.
- Choose the intended Role.
- Choose + Create.
- Copy the generated invite code or invite link from Invite Codes.
- Share it only with people who should join the Space.
Expected outcome: The invite code or link lets a user join the Space with the selected role, subject to invite validity and account checks.
Review members and invites
- Open Manage Users.
- Use search to find a person by visible name or email.
- Review the Role and Status columns.
- For Pending users, ask them to check their invite.
- For Declined users, use Invite Again if they should still join.
- For Deleted users, use Restore if access should be reinstated.
Expected outcome: Member state is clear before you take access-changing actions.
Change a member role
- Find the member in the Manage Users table.
- Select the Role chip.
- Choose the new role.
- Wait for the update to complete.
- Ask the member to refresh if their access does not update immediately.
Expected outcome: The member receives the new Space-level role.
Delete or restore a member
- Find the member in the Manage Users table.
- Choose Delete when the person should no longer access the Space.
- Choose Restore when a deleted member should regain access.
- Confirm the status changes after the action completes.
Expected outcome: The member is removed or restored without changing unrelated members.
Delete or restore an invite code
- Open Invite.
- Select the Code tab.
- Find the invite in Invite Codes.
- Choose Delete to stop using that invite code/link.
- Choose Restore if a deleted invite code/link should be usable again.
Expected outcome: The invite code/link status changes for future joins.

Member statuses

Troubleshooting
Invite is disabled or missing
- Symptom: You can view members but cannot invite people.
- Cause: Your role may not include member-management edit access.
- Resolution:
- Ask a Space owner/admin to confirm your role.
- Ask the owner/admin to send the invite.
- Ask whether your role should include Manage Users access.
The app says User already exists
- Symptom: Sending an invite shows User already exists.
- Cause: The email is already connected to the Space or has an existing invite/member row.
- Resolution:
- Search for the email in Manage Users.
- Check whether the row is Active, Pending, Declined, or Deleted.
- Use Invite Again or Restore if appropriate.
The app says Please enter valid email address
- Symptom: Sending an invite shows Please enter valid email address.
- Cause: One or more email addresses are not valid.
- Resolution:
- Check each email for missing
@, missing domain, typos, or extra punctuation. - Separate multiple emails with commas.
- Remove spaces and try again.
- Check each email for missing
A member cannot access the Space after accepting
- Symptom: The member accepted the invite but still cannot open the Space.
- Cause: They may be signed in with a different account, have the wrong role, or need to refresh after sync.
- Resolution:
- Confirm the invited email.
- Ask the member to sign out and sign in with that account.
- Confirm the member status is Active.
- Review the assigned role.
A role selector shows no access
- Symptom: A role or action is disabled or shows no access.
- Cause: Your role cannot update that member, the target is protected, or the option is restricted.
- Resolution:
- Do not try to bypass the permission.
- Ask a Space owner/admin to make the change.
- Confirm whether the target member is the Space owner.
Invite code or link does not work
- Symptom: A user cannot join with a generated invite code/link.
- Cause: The code/link may be deleted, copied incorrectly, used with the wrong account, or no longer valid.
- Resolution:
- Copy the code/link again from the Code tab.
- Confirm the invite code/link is not deleted.
- Restore or create a new invite code/link if needed.
- Ask the user to sign in with the intended account.
FAQ
Can I invite multiple people at once?
Yes. Use the Email tab and separate email addresses with commas.
What is the difference between email invites and invite codes?
Email invites target specific email addresses. Invite codes or links are copied and shared manually, with the selected role attached to that code/link.
Can I change the Space owner from Manage Users?
Owner-level changes are protected. If ownership needs to change, ask the current owner or support for the correct process.
Should I delete a member or change their role?
Change the role when the person still needs some access. Delete the member when they should no longer access the Space.
