Manage Space settings and app behavior

Settings is the administration area for the active Space. Use it to manage Space identity, member access, roles, templates, tags, integrations, recovery areas, and feature behavior that affects how people work.

Use Settings when you need to:

  1. Update Space name, avatar, timezone, owner, or owner-only actions.
  2. Invite people, review member status, remove access, or restore access.
  3. Create roles and decide what each role can view, create, edit, manage, or delete.
  4. Maintain list templates, statuses, priorities, sections, and reusable setup patterns.
  5. Create and clean up shared tags.
  6. Connect provider accounts and integration keys.
  7. Reopen archived work or restore recently deleted work.
  8. Control which app areas, task fields, CRM record types, point values, and time tracking controls are available.

Terms you may see:

  • Account settings affect your personal profile, password, language, timezone, theme, work hours, and notifications.
  • Space settings affect the active Space and can affect every member.
  • App Settings decide which app areas and task fields are available inside the Space.
  • Members and roles decide who can access the Space and what actions they can perform.
  • Templates and tags keep repeated work consistent.
  • Archived and Recently Deleted are recovery areas for work that is hidden or removed.

Before you start

  • You must be in the correct Space before changing shared settings.
  • Some pages require owner, admin, or settings access.
  • Some controls are hidden or disabled when the plan, role, connection, or App Settings do not allow the action.
  • Shared settings should be changed while online so updates can save and sync.

How Space settings work

  1. Open Settings from navigation or account actions.
  2. Choose the settings area that matches the change you need.
  3. Review the current value and who it affects.
  4. Make one change at a time for high-impact settings.
  5. Save when the page requires it, or wait for the update to finish when the page saves automatically.
  6. Return to the affected app area and confirm the result.

Expected outcome: Space behavior, access, fields, integrations, and recovery state match the way the team needs to work.

Choose the right settings area

  • Use General for Space identity, timezone, owner display, transfer ownership, archive, unarchive, or delete.
  • Use Members for invites, invite codes, member statuses, role changes, delete access, and restore access.
  • Use User Roles for permission levels and custom roles.
  • Use App Settings when a feature, task field, CRM option, point value, or time tracking control is missing for many users.
  • Use Templates when repeated list setup, statuses, priorities, or sections should be standardized.
  • Use Tags when labels are duplicated, unclear, or missing.
  • Use Archived when work was intentionally hidden from active views.
  • Use Recently Deleted when work was deleted and may still be recoverable.

Make a safe shared settings change

  1. Confirm the active Space in the header.
  2. Confirm you have the role needed for the change.
  3. Review the affected members, feature area, or item type.
  4. Change the smallest setting that solves the problem.
  5. Save or wait for the update to complete.
  6. Check the related page, dialog, or member account.
  7. Tell affected users when the change alters what they can see or do.

Understand disabled settings

A setting can be disabled because:

  • You are not the Space owner.
  • Your role does not include the required permission.
  • The app is offline.
  • The feature is disabled in App Settings.
  • The plan does not include the action.
  • The item is protected, private, archived, deleted, or still syncing.

Troubleshooting

A settings page is hidden

  • Symptom: Another user can see a settings area, but you cannot.
  • Cause: Your role, plan, Space, or App Settings may not allow that area.
  • Resolution:
    1. Confirm the active Space.
    2. Ask a Space owner/admin to confirm your role.
    3. Check whether the related app area is enabled.
    4. See Troubleshoot access and permission issues.

A setting does not save

  • Symptom: A value reverts or the app shows no internet.
  • Cause: Shared settings require connection and the right role.
  • Resolution:
    1. Reconnect to the network.
    2. Refresh and retry once.
    3. Ask an owner/admin to make the change if your role is blocked.
    4. See Fix offline sync and common app errors.

A change affected more users than expected

  • Symptom: Multiple users suddenly lose a field, button, page, or permission.
  • Cause: Shared settings, roles, and App Settings affect more than one person.
  • Resolution:
    1. Reopen the changed settings area.
    2. Restore the previous value if the change was accidental.
    3. Check User Roles and App Settings together when visibility changed.

FAQ

Are account settings and Space settings the same?

No. Account settings affect your personal experience. Space settings affect the active Space and its members.

Should every admin change Settings?

No. Limit high-impact changes to owners, admins, or people responsible for the affected process.

Why can I see a page but not change anything?

Your role may allow viewing but not editing. Some settings also require ownership, plan access, or an online connection.
