Control app features and task fields

App Settings control which app areas and task fields are available inside the active Space. Use them when an owner or admin wants to simplify the app, turn on a capability, or hide fields that the team does not use.

Use App Settings to:

  1. Enable or disable app areas such as Lists, Docs, Whiteboards, Dashboards, Goals, Reminders, Chat, and CRM.
  2. Control whether CRM Contacts and Companies are available.
  3. Show or hide task fields and task tabs.
  4. Enable workload fields such as Points and Time Tracking.
  5. Manage point values users can choose for task estimates.
  6. Save or cancel shared setting changes intentionally.

Terms you may see:

  • App Settings are Space-level. Changes affect the active Space, not only your account.
  • Feature switches control availability. If a switch is off, related navigation, create actions, fields, or tabs may be hidden.
  • Permissions still apply. Turning on a feature does not give every member permission to use it.
  • Plan availability still applies. Some switches can be hidden or disabled by plan availability.
  • Hidden is not always deleted. Turning a setting off usually hides controls, but existing records may still exist.

Before you start

  • You need permission to view App Settings.
  • You need settings or admin access to save changes.
  • You must be online to save shared configuration changes.
  • The feature must be available for the Space plan before it can be enabled.

How App Settings apply

  1. Open Settings.
  2. Open App Settings.
  3. Review current switches before changing them.
  4. Turn app areas, CRM options, task fields, workload fields, or point values on or off.
  5. Select Save to apply changes or Cancel to discard unsaved changes.
  6. Return to the affected app area and confirm the expected fields or actions are visible.

Expected outcome: The Space shows only the app areas and fields that match the team’s operating model.

Workload settings

Enable or disable an app area

  1. Open Settings > App Settings.
  2. Find the app area.
  3. Turn the switch on or off.
  4. Select Save.
  5. Refresh the affected page if navigation or create actions do not update immediately.

Control CRM records

  1. Turn on CRM.
  2. Turn Contacts and Companies on or off based on what the Space needs.
  3. Select Save.
  4. Open CRM and confirm the expected create buttons and record types are available.

Control task fields

  1. Keep List enabled.
  2. Review the task field switches.
  3. Turn fields or tabs on or off.
  4. Select Save.
  5. Open a task and confirm the task dialog, cards, and views show the intended fields.

Manage point values

  1. Turn on Points.
  2. Open the point values control.
  3. Add or remove values.
  4. Keep the scale short enough for quick selection.
  5. Save and reopen a task to confirm the values appear.

Troubleshooting

App Settings is hidden

  • Symptom: You cannot open App Settings.
  • Cause: Your role may not allow App Settings access, or the settings area may be unavailable for the Space.
  • Resolution:
    1. Confirm the active Space.
    2. Ask a Space owner/admin to review your role.
    3. Ask whether App Settings is available for the current plan.

A setting does not save

  • Symptom: A switch reverts or the Save action does not complete.
  • Cause: The app may be offline or your role may not allow saving.
  • Resolution:
    1. Confirm your connection is online.
    2. Select Save again after reconnecting.
    3. Ask an owner/admin to make the change if access is restricted.

A feature is enabled but still not visible

  • Symptom: A feature, field, tab, or button is still hidden.
  • Cause: Role permissions, plan availability, item privacy, archived/deleted state, or active filters may still hide it.
  • Resolution:
    1. Confirm the setting is saved.
    2. Confirm the user’s role allows the feature.
    3. Confirm the item is accessible.
    4. Refresh the app.

FAQ

Does turning on a feature give users permission to use it?

No. App Settings make a feature available. Roles and item access still decide what each member can do.

Does turning off a feature delete existing data?

Not usually. Treat the data as hidden until an owner/admin verifies the feature-specific behavior.

Should every Space use every task field?

No. Keep only fields that users understand and maintain consistently.
