Find and reopen archived work
Archived settings help authorized users find work that was intentionally removed from active views without deleting it. Use Archived when you need to reopen older work or confirm whether something was archived instead of deleted.
Use Archived to:
- Review archived work by item type.
- Open archived items to verify what they are.
- Unarchive work that should become active again.
- Delete archived work when it is no longer needed and your role allows it.
Terms you may see:
- Archive hides work from normal active views.
- Unarchive reopens work and returns it to active areas.
- Delete removes archived work and may move it to Recently Deleted when supported.
- Item type groups help you review folders, lists, dashboards, goals, chats, tasks, docs, and whiteboards separately.
Before you start
- You need permission to view Archived.
- You need restore or delete permission for the item type.
- Some archived work may still be hidden by item-level access.
How archived work is restored
- Open Settings.
- Open Archived.
- Expand the item type group.
- Open the item if you need to confirm it.
- Select Unarchive to reopen it, or Delete if it should be removed.
- Return to the original feature area and verify the result.
Expected outcome: Archived work can be reviewed and reopened without recreating it.
Reopen archived work
- Open Settings > Archived.
- Expand the matching item type group.
- Locate the item by name.
- Select Unarchive.
- Return to the original feature area.
- Refresh, search, or clear filters if the item does not appear immediately.
Confirm whether work was archived or deleted
- Check the active feature area first.
- Check Archived for intentionally hidden work.
- Check Recently Deleted if the item does not appear in Archived.
- Ask an owner/admin if you do not have access to either area.
Delete archived work
- Confirm the item should not return to active work.
- Select Delete only when recovery risk is understood.
- Check Recently Deleted quickly if deletion was accidental and the item type supports recovery.
Troubleshooting
Archived item is not listed
- Symptom: You cannot find an item in Archived.
- Cause: It may be in another Space, already unarchived, deleted, or hidden by access rules.
- Resolution:
- Confirm the active Space.
- Search active work.
- Check Recently Deleted.
- Ask an owner/admin to verify permissions.
Unarchive does not restore the item to the expected place
- Symptom: You unarchived an item but cannot see it where expected.
- Cause: The item may be inside a folder, affected by filters, or still syncing.
- Resolution:
- Refresh the app.
- Search by item name.
- Clear filters in the original feature area.
- Check parent folders or lists.
Delete is available but risky
- Symptom: You see Delete beside archived work and are not sure whether to use it.
- Cause: Delete is stronger than archive and may create a limited recovery window.
- Resolution:
- Prefer Unarchive if the item may still be needed.
- Confirm with the item owner before deleting.
- Use Recently Deleted quickly if deletion was accidental.
