Copy Task links and troubleshoot access
A Task link is a direct shortcut to a Task inside the signed-in app. It helps teammates open the right work item quickly, but it does not make the Task public and does not bypass access checks.
Before you start
- You must have access to the Task to copy its link.
- The recipient must sign in with the correct account.
- The recipient must belong to the correct Space.
- The recipient must have access to the containing List or related item.
- If the List, saved view, or Task is private, the recipient must be included in private access.
- Changing access requires the matching settings or sharing access.
Link Reference
| Link/action | What it does | What it does not do |
|---|---|---|
| Copy URL | Copies a signed-in app link to the Task. | Does not make the Task public. |
| Task row more actions | Can expose Copy URL when available. | Does not grant missing access. |
| Task dialog more actions | Can expose Copy URL from the open Task. | Does not bypass private access. |
| Public List/Doc/Whiteboard link | Opens a supported public read-only page when published. | Does not apply to normal Task links. |
How Task links work
- Open the Task or Task row more actions.
- Choose Copy URL.
- Send the link to the intended teammate.
- The teammate opens the link while signed in.
- The app checks account, Space, List, private item, and role access.
Expected outcome: The recipient opens the Task only if their account already has access.
Copy a Task link
- Open the Task or row more actions.
- Choose Copy URL.
- Send the link to the intended teammate.
- Include the Space and List name when the teammate works across multiple Spaces.
Send a Task link safely
- Confirm the teammate belongs to the Space.
- Confirm the teammate can access the containing List.
- If the List, saved view, or Task is private, add the teammate first.
- Copy and send the Task link.
- Ask the teammate to confirm access.
Fix access before resending
- Confirm the recipient is signed in with the expected account.
- Confirm the recipient is in the correct Space.
- Open the List, saved view, or Task sharing settings when available.
- Add the recipient if private access is required.
- Ask the recipient to refresh and reopen the link.
Troubleshooting
Recipient sees no access
- Symptom: A user opens the Task link but sees no access or cannot find the Task.
- Cause: The user may be signed in with the wrong account, missing from the Space, blocked from the List, excluded from private access, or missing role permissions.
- Resolution:
- Confirm the recipient is signed in with the intended account.
- Confirm the recipient belongs to the Space.
- Confirm the recipient has access to the containing List.
- Add the recipient to private List, saved view, or Task access if needed.
- Ask a Space admin to review role permissions if access still fails.
Copy URL is missing
- Symptom: You cannot find the Task copy-link action.
- Cause: The action may be hidden in the current layout, unavailable for the current surface, or restricted by access.
- Resolution:
- Open the full Task dialog.
- Check Task more actions.
- Check row more actions in the List.
- Ask an authorized user to copy the link if your access is limited.
Recipient expected a public page
- Symptom: The recipient expects the Task link to open without signing in.
- Cause: A copied Task link is not a public sharing link.
- Resolution:
- Use a supported public List, Doc, or Whiteboard link when external review is needed.
- Add the user to the Space when they need to work with the Task directly.
- Confirm the intended sharing method before sending sensitive work outside the team.
FAQ
Does copying a Task link make the Task public?
No. A copied Task link is only a shortcut. The recipient still needs the right account, Space, List, private item, and role access.
Can I share one Task without sharing the whole List?
Use the available private access controls for that Task, saved view, or List. If Task-specific sharing is not available for your current setup, grant access through the containing List.
Should I use a public List link instead?
Use a public List link only when you intentionally want external viewers to review shared List content without signing into the Space.
