Use the Task dialog to create and update work

The Task dialog is the focused place to create and update a Task. It shows the Task name, description, core fields, related CRM records, estimates, tags, attachments, subtasks, comments, activity, dependencies, and time details when those features are enabled.

Quick Task is a smaller capture flow. It is useful when you only need to create the Task name first and add details later.

Before you start

  • You must have access to the List or related item that contains the Task.
  • Creating Tasks requires create access.
  • Editing fields requires the matching edit, status, assignment, comment, attachment, or settings access.
  • Some sections appear only when enabled in App Settings.
  • The app must be online for changes that need sync, uploads, activity refresh, or cross-List moves.

Create a Task with the full dialog

  1. Open the target List.
  2. Choose + New Task.
  3. Enter a Task name.
  4. Add description, status, owner, assignees, priority, and dates as needed.
  5. Add related CRM records, tags, estimates, subtasks, comments, or attachments only when useful.
  6. Close the dialog with Done.

Capture a Quick Task

  1. Open a List view where Quick Task is visible.
  2. Choose + Quick Task or the quick input.
  3. Enter a clear Task name.
  4. Use Create Task or Add & New when the name is valid.
  5. Expand to the full dialog if you need more details immediately.

Open an existing Task

  1. Select the Task from a List row, card, table row, dashboard item, search result, link, or related record.
  2. Review the header and parent/List chip to confirm the correct Task.
  3. Update fields or add context.
  4. Close with Done.

Troubleshooting

Create Task is disabled

  • Symptom: The guide or dialog create action is disabled.
  • Cause: The Task name may be empty, create access may be missing, or the app may be offline.
  • Resolution:
    1. Enter a Task name.
    2. Confirm you have create access on the List.
    3. Check the connection.
    4. Try the full + New Task action if Quick Task is hidden.

Fields are disabled

  • Symptom: You can view the Task but cannot edit fields.
  • Cause: Your role may not allow editing, status changes, assignment changes, comments, uploads, or dependency changes.
  • Resolution:
    1. Confirm you are in the correct Space and List.
    2. Ask the List owner or Space admin to review your access.
    3. If only one section is disabled, ask for that specific access.

A tab is missing

  • Symptom: Subtasks, Comments, Activity, Dependency, Attachments, estimates, tags, or time tracking is not visible.
  • Cause: The feature may be disabled in App Settings, unavailable for the current plan, hidden by access, or not relevant to the current Task.
  • Resolution:
    1. Check App Settings.
    2. Confirm your role can use the feature.
    3. Use the available Overview fields until the feature is enabled.

A newly created Task is not visible in the current view

  • Symptom: The Task was created but does not appear in the current List layout.
  • Cause: Active filters, Mine, contributors, grouping, completed visibility, hidden groups, or date range may hide it.
  • Resolution:
    1. Clear filters.
    2. Turn off Mine.
    3. Show completed Tasks if needed.
    4. Search for the Task name.
    5. Check another saved view in the same List.

FAQ

Should I use New Task or Quick Task?

Use New Task when you already know the details. Use Quick Task when you only need to capture the Task name first.

Does closing the Task dialog save changes?

Most field updates save as you make them. If a section shows a Save or Set action, use that action before closing.
