Archive, delete, and restore Tasks
Archive and Delete remove Tasks from normal working views, but they have different intent. Archive is best for Tasks you may need later. Delete is for Tasks that should be removed and recovered only through Recently Deleted when recovery is available.
Review removal and recovery behavior before removing important work or when you need to recover a missing Task.
Before you start
- You must have access to the Task.
- Archiving or deleting requires delete/archive access for the Task or List.
- Restoring archived or deleted Tasks requires access to Archived or Recently Deleted settings.
- Recovery availability can depend on retention settings and item state.
- The app must be online for removal and recovery actions to sync.

How Task recovery works
- Open the Task or Task row more actions.
- Choose Archive when the Task should be removed from active work but kept recoverable.
- Choose Delete only when the Task should be removed more strongly.
- Use Settings > Archived to unarchive.
- Use Settings > Recently Deleted to restore deleted Tasks when available.
Expected outcome: Active views stay clean without losing recoverable work unintentionally.
Archive a Task
- Open Task more actions or row more actions.
- Choose Archive.
- Confirm if prompted.
- Check active views to confirm the Task is no longer visible.
- Use Archived if recovery is needed.
Unarchive a Task
- Open Settings.
- Open Archived.
- Find the Task under Tasks.
- Choose the restore or unarchive action.
- Return to the List and clear filters if the Task is not visible.
Delete a Task
- Open Task more actions or row more actions.
- Choose Delete.
- Read the confirmation.
- Confirm only when the Task should be removed.
- Use Recently Deleted if you later need to recover it.
Restore a deleted Task
- Open Settings.
- Open Recently Deleted.
- Find the Task under Tasks.
- Choose Restore.
- Return to the List and confirm the Task is visible.
Remove multiple Tasks carefully
- Select only the Tasks you intend to update.
- Open bulk actions.
- Choose the removal action if available.
- Read confirmation text carefully.
- Confirm and then check Archived or Recently Deleted if needed.
Troubleshooting
A Task disappeared from the List
- Symptom: A Task is missing from active views.
- Cause: The Task may be archived, deleted, filtered out, hidden by Mine, completed, moved, copied, private, or inside a List you cannot access.
- Resolution:
- Clear filters and Mine.
- Show completed Tasks.
- Search by Task name.
- Check Settings > Archived.
- Check Settings > Recently Deleted.
- Ask an owner/admin to confirm access.
Archive or Delete is disabled
- Symptom: You can see the Task but cannot archive or delete it.
- Cause: You may not have delete/archive access, the Task may be read-only, or the app may be offline.
- Resolution:
- Confirm you are online.
- Ask the List owner or Space admin to confirm your access.
- Ask an authorized user to remove the Task if needed.
Restore does not bring the Task back where expected
- Symptom: Restore succeeds, but you still cannot see the Task in the List.
- Cause: Active filters, private access, deleted parent context, or moved context may hide the restored Task.
- Resolution:
- Clear filters.
- Search by Task name.
- Check the original List if known.
- Ask an admin to verify the restored location and access.
Recently Deleted does not show the Task
- Symptom: You expect a deleted Task but cannot find it in Recently Deleted.
- Cause: You may not have access, retention may have expired, the Task may have been archived instead, or it may not have synced before removal.
- Resolution:
- Check Archived.
- Ask the owner/admin to search Recently Deleted.
- Confirm the approximate deletion time.
- Report the issue if the Task was removed recently and cannot be found.

Should I archive or delete completed Tasks?
Archive Tasks that may be useful for history or reporting. Delete Tasks that were created by mistake or should not remain available.
Does deleting a Task remove comments and attachments?
Treat Delete as a serious removal action. Recovery behavior can depend on the Task state and retention settings, so archive instead when you are unsure.
Can bulk removal be undone?
Do not assume bulk removal has a single undo. Use Archived or Recently Deleted for recovery when available.
