Fix common List issues

Use this troubleshooting page when a List, task, saved view, filter, sort, group, import, export, or List action does not behave as expected.

Start with the fastest checks:

  1. Confirm the active Space.
  2. Confirm List access.
  3. Clear filters, Mine, contributors, and hidden groups.
  4. Show completed tasks.
  5. Switch to a broader view.
  6. Confirm the app is online and synced.
  7. Check role permissions and App Settings if actions are missing.

Troubleshooting

List not visible

  • Symptom: The List is missing from Collections, search, or a direct link.
  • Cause: You may be in the wrong Space, signed in with the wrong account, blocked by private access, looking in the wrong folder, or the List may be archived/deleted.
  • Resolution:
    1. Confirm the active Space.
    2. Confirm the signed-in account.
    3. Search for the List by name.
    4. Check parent folders if you know where it should be.
    5. Ask the List owner/admin to check private access.
    6. Check Archived or Recently Deleted if the List used to exist.

No access message appears

  • Symptom: The app shows a no-access state instead of opening the List.
  • Cause: Your account does not have the required List, folder, Space, role, or private access.
  • Resolution:
    1. Confirm you are signed in with the intended account.
    2. Ask the List owner/admin to share the List or update your role.
    3. Confirm the List is not inside a folder that blocks access.
    4. Retry after access is updated.

Tasks are missing

  • Symptom: The List opens, but expected tasks are not visible.
  • Cause: Filters, Mine, contributors, completed-task visibility, date range, hidden groups, private view settings, or a different saved view may hide tasks.
  • Resolution:
    1. Clear filters.
    2. Turn off Mine.
    3. Clear Contributors.
    4. Turn on Show completed.
    5. Check hidden group toggles.
    6. Switch to another view.
    7. Search for the task name.

The List is empty after filtering

  • Symptom: No results appear after changing filters.
  • Cause: Quick filters and Advanced filters may be too narrow together.
  • Resolution:
    1. Clear Advanced filters.
    2. Turn off Quick filters one at a time.
    3. Show completed tasks.
    4. Confirm the field value you filtered for exists on tasks.

Sorting looks wrong

  • Symptom: Tasks appear in an unexpected order.
  • Cause: Multiple sort rules, missing field values, grouped views, or view-specific order can affect task order.
  • Resolution:
    1. Open Sort.
    2. Remove extra sort rules.
    3. Confirm ASC or DESC direction.
    4. Compare with a Table view when you need field-level verification.

Grouping looks wrong

  • Symptom: Tasks appear under unexpected groups or a group is missing.
  • Cause: The current view may group by Status, Priority, Section, or date; hidden group toggles may be active.
  • Resolution:
    1. Open Group.
    2. Check the selected grouping field.
    3. Turn hidden groups back on.
    4. Confirm the task has the matching field value.
    5. Switch to another view if Calendar or Gantt does not show Group controls.

New task is created but not visible

  • Symptom: The create action succeeds, but the task does not appear in the current view.
  • Cause: The task may not match active filters, Mine, contributors, completed-state visibility, date range, or group visibility.
  • Resolution:
    1. Clear filters.
    2. Turn off Mine.
    3. Show completed tasks.
    4. Search for the new task name.
    5. Check another saved view.

Quick Task is missing

  • Symptom: You do not see the quick task input or + Quick Task action.
  • Cause: The current view, permissions, filters, or screen size may not support inline quick creation.
  • Resolution:
    1. Use + New Task for the full Task dialog.
    2. Check task create access.
    3. Switch to a view that supports quick entry.
    4. On mobile, use the primary create action when quick entry is not visible.

View changes are not saved

  • Symptom: Filters, Sort, Group, columns, or display settings reset later.
  • Cause: The view has unsaved changes, settings access is missing, or sync failed.
  • Resolution:
    1. Look for Save and select it.
    2. Use Reset if you do not want the changes.
    3. Confirm the app is online.
    4. Ask for settings access if Save is unavailable.

Import fails

  • Symptom: Import does not open, the file is rejected, or Submit fails.
  • Cause: Missing create access, offline state, unsupported file type, file size limit, incorrect starting row, or incomplete field mapping.
  • Resolution:
    1. Confirm you are online.
    2. Confirm task create access.
    3. Check file type and size.
    4. Map Task name.
    5. Confirm Starting Row points to the first task row.
    6. Test with a small file.

Export does not download

  • Symptom: Export opens but no file downloads.
  • Cause: Browser download settings, offline state, access limits, or mobile file handling may block the download.
  • Resolution:
    1. Confirm your connection.
    2. Check browser download permissions.
    3. Try again from desktop if mobile download handling is limited.
    4. Ask an admin to confirm export access.

List settings cannot be changed

  • Symptom: Rename, privacy, view settings, archive, delete, or sharing actions are disabled or fail.
  • Cause: You may not have settings access, the List may be read-only, the app may be offline, or the action may be blocked by plan/usage limits.
  • Resolution:
    1. Confirm your connection.
    2. Ask the List owner/admin to confirm settings access.
    3. Check App Settings and plan availability.
    4. Retry after sync completes.

Mobile controls are hard to find

  • Symptom: Filter, Sort, Group, Import, Export, or view settings are not visible on mobile.
  • Cause: Mobile groups List tools into the view selector, tune/more tools panel, or more actions menus.
  • Resolution:
    1. Open the view selector to switch or manage views.
    2. Open the tune/more tools button for Filter, Sort, Group, Import, or Export.
    3. Open more actions in the header for List-level actions.
    4. Use search if the List is hard to locate.

Reporting Checklist

When reporting a List issue, include:

  1. Space name.
  2. List name.
  3. View name.
  4. Device type and browser or app.
  5. Whether you are online.
  6. Active filters, sort, and grouping.
  7. Whether Mine or Show completed is enabled.
  8. The exact action that failed.
  9. Any visible error or disabled state.

FAQ

Should I clear filters before asking support?

Yes. Clearing filters, Mine, contributors, and hidden groups is the fastest way to separate view-state issues from access problems.

Can a List look empty even when it has tasks?

Yes. Filters, completed-task visibility, private views, date ranges, hidden groups, or missing access can all make tasks disappear from the current view.

Why does mobile show fewer buttons?

Mobile moves many controls into panels and menus to preserve space. The actions still exist when your view and permissions support them.
