Import and export List task data
Import and Export move task data between a List and spreadsheet files. Import creates tasks from a spreadsheet. Export downloads task data from the current List for reporting, review, backup, or offline analysis.
Before you start
- You must have access to the List.
- Import requires task create access.
- Export requires access to the List data.
- The app must be online.
- Import supports spreadsheet files accepted by the upload control, with a maximum file size of about 51 MB.
- A task name column is required for reliable import.

The import dialog shows a preview value for mapped columns. Use the preview to confirm that the starting row and mapping are correct before submitting.
How import and export work
- Open the List.
- Open toolbar more actions.
- Choose Import or Export.
- For Import, upload the spreadsheet, choose Starting Row, map fields, and select Submit.
- For Export, choose the spreadsheet file action in the Export dialog.
Expected outcome: Import creates tasks in the current List. Export downloads a spreadsheet-style copy of task data.
Prepare a spreadsheet
- Put one task per row.
- Include a task name column.
- Put headers above the first task row.
- Remove notes, blank setup rows, and duplicate header rows.
- Keep status, priority, tags, and users consistent with values used in the Space.
- Save the file in an accepted spreadsheet format.
Import tasks
- Open the target List.
- Open toolbar more actions.
- Choose Import.
- Select the spreadsheet file tile.
- Choose the Starting Row from 1 to 10.
- Map each task field to the correct spreadsheet column.
- Review preview values.
- Select Submit.
- Clear filters if new tasks do not appear.
Export tasks
- Open the List.
- Open toolbar more actions.
- Choose Export.
- Select the spreadsheet file tile.
- Save the downloaded file.
Exports are best treated as snapshots. If tasks change later, export again.
Safe Import Checklist
Before submitting a large import:
- Test with a small file.
- Confirm the task name mapping.
- Confirm Starting Row points to the first real task row.
- Confirm date columns use a consistent format.
- Confirm status and priority values match the Space configuration.
- Confirm users and tags are spelled consistently.
- Import into the correct List.
Troubleshooting
Imported tasks have missing names
- Symptom: Rows are skipped, or tasks do not have the expected name.
- Cause: Task name is not mapped correctly, or Starting Row points to the wrong row.
- Resolution:
- Reopen Import.
- Confirm Starting Row is the first real task row.
- Map Task name to the correct column.
- Review preview values before Submit.
Status, priority, users, or tags do not match
- Symptom: Imported fields are blank, inconsistent, or not assigned as expected.
- Cause: Spreadsheet values may not match configured Space values or member names.
- Resolution:
- Standardize values in the spreadsheet.
- Confirm statuses, priorities, tags, and users exist in the Space.
- Test with a small file.
- Correct the mapping and import again if needed.
Import is disabled or fails
- Symptom: Import cannot be opened, the file is rejected, or Submit does not finish.
- Cause: Missing create access, offline state, unsupported file type, file size limit, or invalid data.
- Resolution:
- Confirm your connection.
- Confirm create access on the List.
- Check file type and size.
- Try a smaller file.
- Report an issue with the file type, approximate row count, and error details.
Export does not download
- Symptom: Export opens but no file downloads.
- Cause: Browser download settings, offline state, or access limits may block the download.
- Resolution:
- Confirm your connection.
- Check browser download permissions.
- Try again from desktop if mobile download handling is limited.
- Ask an admin to confirm export access.
FAQ
Does import update existing tasks?
Treat import as task creation unless the import dialog clearly states otherwise. Do not rely on it to update existing tasks.
Can I undo an import?
Do not assume there is a single undo action. Test with small files and use filters or bulk actions carefully if cleanup is needed.
Does export respect current filters?
Export behavior can depend on the current List and implementation. If you need a filtered export, apply the view first and verify the exported file.
