Create and update Tasks in a List

List views let you create, review, select, and update Tasks without leaving the List. You can use the full Task dialog, Quick Task capture, inline edits, row more actions, drag/reorder where supported, and bulk actions for repeated updates.

Before you start

  • You must have access to the List.
  • Creating Tasks requires create access.
  • Editing fields requires edit, status, assignment, comment, or settings access depending on the field.
  • Moving, copying, duplicating, archiving, deleting, and bulk updating require the matching access.
  • Some fields and quick actions appear only when enabled in App Settings and supported by the selected view.

Create a Task with the full dialog

  1. Open the List.
  2. Choose + New Task.
  3. Enter a Task name.
  4. Add fields and context as needed.
  5. Close with Done after changes save.

Create a Quick Task

  1. Open a supported List view.
  2. Choose + Quick Task or the quick input.
  3. Enter a Task name.
  4. Use Create Task, Add & New, or Enter when supported.
  5. Expand if you need the full dialog.

Update a Task inline

  1. Find the Task in the current view.
  2. Use the visible field control, such as status, priority, owner, assignees, date, progress, or tag.
  3. Confirm the view updates.
  4. Open the full Task dialog if the field is not available inline.

Select and bulk update Tasks

  1. Use row more actions or visible selectors to select Tasks.
  2. Open Bulk actions.
  3. Choose the action.
  4. Fill the required value, such as status, priority, section, owner, or destination List.
  5. Confirm the update.
  6. Use Cancel to exit selection mode.

Move or copy Tasks

  1. Open Task more actions or bulk actions.
  2. Choose Move or Copy to.
  3. Select the destination List.
  4. Confirm the action.
  5. Review the destination List.

Troubleshooting

New Task is hidden or disabled

  • Symptom: You cannot create a Task from the List.
  • Cause: Create access may be missing, the app may be offline, the List may be read-only, or a usage/plan limit may apply.
  • Resolution:
    1. Confirm you are online.
    2. Ask the List owner/admin to confirm create access.
    3. Check plan or usage messages if shown.

Quick Task is hidden

  • Symptom: You do not see the Quick Task input or button.
  • Cause: The selected view/state may not support Quick Task, create access may be missing, or the app may be on a smaller screen where the primary create action is preferred.
  • Resolution:
    1. Use + New Task.
    2. Switch to a supported view.
    3. Confirm create access.

A new Task does not appear

  • Symptom: You created a Task but do not see it in the current List view.
  • Cause: Filters, Mine, contributors, hidden groups, completed visibility, or date range may hide it.
  • Resolution:
    1. Clear filters.
    2. Turn off Mine.
    3. Show completed Tasks if needed.
    4. Search by Task name.
    5. Check another saved view.

Bulk actions are missing

  • Symptom: You cannot find or use bulk actions.
  • Cause: No Tasks may be selected, selection may be unavailable in the current view, or edit access may be missing.
  • Resolution:
    1. Select one or more Tasks.
    2. Check row more actions for Select.
    3. Try a List view that supports selection.
    4. Ask for edit access if selection is disabled.

Move or copy does not complete

  • Symptom: Move/Copy dialog opens but the action cannot be submitted or does not finish.
  • Cause: Destination List is not selected, destination access is missing, the app is offline, or selected Tasks are no longer available.
  • Resolution:
    1. Select a destination List.
    2. Confirm destination access.
    3. Confirm connection.
    4. Retry with fewer Tasks if a bulk action fails.

FAQ

Should every Task have an owner?

Use an owner or assignee when responsibility matters. For informal capture, a Task name can be enough until the work is triaged.

Can a Task appear in different views?

Yes. Views show the same Task data in different layouts and can filter or group it differently.

Does moving a Task keep its comments and fields?

Move is intended to keep the Task while changing its List location. Verify the destination after moving, especially when Lists have different fields or sections.
