Use Calendar schedule modes and filters

Calendar schedule modes and filters control what appears in the app-level schedule. Use them to move from broad planning to a focused schedule for the work, people, and calendar sources that matter right now.

Looking for List Calendar view? Use List view types instead. List Calendar view settings affect one List; Calendar filters affect the app-level Calendar planning area.

The steps below help you:

  1. Switch between personal and team schedule review.
  2. Show or hide connected calendar sources.
  3. Limit My Calendar to selected Spaces.
  4. Limit Team Calendar to selected users.
  5. Include or exclude completed tasks.
  6. Refresh provider events after connecting or reconnecting a calendar.

Schedule Modes

My Calendar

Use My Calendar when you want your own planning view. It can combine:

  1. Your dated tasks.
  2. Selected Spaces.
  3. Connected Google Calendar sources.
  4. Connected Outlook Calendar sources.
  5. Completed tasks when Show done is on.

Team Calendar

Use Team Calendar when you want to review dated work for selected people. It is useful for handoffs, capacity checks, and schedule coordination.

Team Calendar focuses on:

  1. Selected users.
  2. Dated tasks assigned or connected to those users.
  3. Completed tasks when Show done is on.

Filter My Calendar

  1. Select My Calendar.
  2. Open Filter.
  3. In the calendar source section, choose all sources or specific connected calendars.
  4. Use Refresh if provider events were recently changed.
  5. Turn Show done on only when completed work matters.
  6. In the Space section, choose all Spaces or only the Spaces you want.
  7. Close the filter popup or keep the side panel open on desktop.

Expected outcome: My Calendar shows only the selected provider events and dated tasks.

Filter Team Calendar

  1. Select Team Calendar.
  2. Open Filter.
  3. Turn Show done on or off.
  4. In the Users section, choose all users or the people you want to review.
  5. Close the filter popup or keep the side panel open on desktop.

Expected outcome: Team Calendar shows dated tasks for the selected people.

Manage calendar sources from filters

  1. Open Filter while in My Calendar.
  2. Select the settings action in the calendar source section.
  3. Review connected Google Calendar and Outlook Calendar accounts.
  4. Delete an account only when you no longer want its provider events shown.
  5. Connect another provider account if needed.
  6. Refresh Calendar after connection changes.

Use completed task visibility safely

Turn Show done on when you are auditing completed work, reviewing a past period, or confirming that a completed task was scheduled correctly. Keep it off for active planning so the calendar stays focused.

Troubleshooting

The filter button shows a count but I cannot tell what is filtered

  • Symptom: Filter shows a number or indicator.
  • Cause: A section is showing selected values instead of everything.
  • Resolution:
    1. Open filters.
    2. Check calendar sources, Spaces, users, and Show done.
    3. Use All in the relevant section if you want a complete view.

A connected provider source is listed but events still do not appear

  • Symptom: The provider calendar is selectable, but events are missing.
  • Cause: Events may be outside the selected date range, filtered out, still syncing, or unavailable because the provider connection needs refresh.
  • Resolution:
    1. Include the provider source.
    2. Use refresh.
    3. Switch to a broader range.
    4. Reconnect the provider if events still do not load.

Team Calendar does not show a user

  • Symptom: A person is missing from Team Calendar filtering.
  • Cause: They may not be a member of the current Space or may not have visible dated tasks.
  • Resolution:
    1. Confirm the current Space.
    2. Confirm the person is a member.
    3. Clear the user filter and search again.

Do filters change tasks or events?

No. Filters only change what is visible.

Why are provider calendar filters mostly in My Calendar?

Provider calendars are connected to user accounts. Team Calendar is designed for reviewing users’ dated app work.

Why do completed tasks disappear?

Completed tasks are hidden when Show done is off.
