Plan work on calendars

Calendar is the app-level planning area for dated work. Use it when you need to see dated tasks, reminders, and connected Google Calendar or Outlook Calendar events in one planning surface.

Looking for List Calendar view? Use List view types when you want the calendar layout inside one List. The List Calendar view shows tasks from that List; the app-level Calendar can combine dated work, My Calendar, Team Calendar, and connected provider events.

Use Calendar to:

  1. Review tasks by start date, due date, or event time.
  2. Switch between personal and team scheduling views.
  3. Filter scheduled work by calendar source, Space, user, and completed state.
  4. Create tasks or provider events from a selected calendar time.
  5. Open dated work and update it without leaving the planning context.

Before you start

  • Dated tasks appear only when they have a start or due date.
  • Connected provider events require a working Google Calendar or Outlook Calendar connection.
  • Week-style planning works best on desktop-sized screens.
  • Creating or editing provider events requires provider access and an active internet connection.

How calendar data works

  1. Open Calendar from the app navigation.
  2. Choose My Calendar or Team Calendar.
  3. Choose the time range you need in the schedule area.
  4. Use filters to include the right calendars, Spaces, users, and completed tasks.
  5. Open an item to review details or update it.
  6. Create a task or provider event when the selected date/time needs new work.

Expected outcome: Calendar shows the dated work and provider events that match the selected view and filters.

Review your own schedule

  1. Open Calendar.
  2. Select My Calendar.
  3. Open Filter.
  4. Include the calendar sources and Spaces you want to review.
  5. Decide whether Show done should be on.
  6. Review the schedule and open items that need action.

Review a team schedule

  1. Open Calendar.
  2. Select Team Calendar.
  3. Open Filter.
  4. Choose the users whose dated tasks you want to review.
  5. Decide whether completed tasks should be visible.
  6. Review the schedule for conflicts, handoffs, and follow-up.

Create a task from Calendar

  1. Select an empty time or use the create action from a calendar context.
  2. Choose a Space.
  3. Choose the target List when required.
  4. Enter the task name and optional description.
  5. Confirm start and due time.
  6. Add assignees if needed.
  7. Select Create task.

Create a provider event from Calendar

  1. Select a connected Google Calendar or Outlook Calendar source.
  2. Enter the event name and optional description.
  3. Choose the meeting option if one is needed.
  4. Add a location.
  5. Confirm start and end time.
  6. Add guests by email.
  7. Select Create event.

Troubleshooting

Work is missing from Calendar

  • Symptom: A task or reminder is not visible.
  • Cause: It may not have the required date, may be outside the selected range, may be completed, may be filtered out, or may belong to another Space.
  • Resolution:
    1. Confirm the active Space.
    2. Open the item directly and check its start and due date.
    3. Switch to a broader calendar range.
    4. Clear Space and user filters.
    5. Turn on Show done if the item is completed.

Provider events are missing

  • Symptom: Google Calendar or Outlook Calendar events do not appear.
  • Cause: The provider account may not be connected, may be filtered out, may be offline, or may need authorization again.
  • Resolution:
    1. Open filters and include the provider calendar source.
    2. Use refresh when online.
    3. Open manage integrations and confirm the account is connected.
    4. Reconnect the provider if the connection no longer works.

Calendar looks too busy

  • Symptom: Too many items appear.
  • Cause: All sources, Spaces, users, or completed tasks may be visible.
  • Resolution:
    1. Open filters.
    2. Select only the calendars, Spaces, or users you need.
    3. Turn off Show done unless you are auditing completed work.
    4. Use a narrower range for detailed planning.

FAQ

Does Calendar replace Lists?

No. Calendar is a planning view for dated work. Lists remain the primary place to structure and manage task details.

Is Calendar the same as the Calendar view inside a List?

No. Calendar is the app-level planning area. A List Calendar view is one saved layout inside a specific List and only shows tasks from that List.

Why can I edit some provider events but not others?

The provider account and calendar permissions decide whether an event can be edited. Read-only provider events can still be useful for planning context.

Can Calendar create both tasks and external events?

Yes. The create dialog changes behavior based on whether you choose a Space or a connected calendar source.
