Use milestones and linked work in Goals

Milestones break a Goal into stages. Linked Lists and Tasks connect actual work to the outcome. Together they let the Goal show progress and make review easier.

Before you start

• You need create access to add milestones or link work.
• You need edit access to rename or reorder milestones.
• You need delete access to remove milestones.
• Linked Lists and Tasks must be accessible in the same Space.

Add Menu Reference

Add menu option	What it does	Expected result
Milestone	Creates a new milestone under the Goal.	A milestone card appears in the milestone section.
List	Opens the selection dialog in List mode.	The selected List becomes connected to the Goal.
Task	Opens the selection dialog in Task mode.	The selected Task becomes connected to the Goal.

Milestone Reference

Control	What it does	Notes
Expand/collapse	Shows or hides nested milestone content.	Useful for large Goals.
Milestone name	Identifies the stage.	Rename from the milestone more actions menu.
Task count	Shows done/total connected tasks for that milestone.	Helps explain progress.
Progress bar	Shows completion ratio for connected tasks.	Based on task status.
Drag reorder	Changes milestone order.	Disabled without edit access; touch devices add drag delay.
More actions > Rename	Updates the milestone name.	Requires edit access and a non-empty name.
More actions > Remind me	Creates a reminder for milestone follow-up when available.	Hidden when reminders are unavailable.
More actions > Delete	Deletes the milestone.	Requires delete access. Review impact before confirming.

Link Lists and Tasks

1. Open the Goal.
2. Select Add.
3. Choose List or Task.
4. Search or browse the selection dialog.
5. Select the item to connect it to the Goal.

Expected outcome: the connected List or Task appears under the Goal and contributes to progress when it has tasks or completion state.

Remove Linked Lists or Tasks

1. Open the linked item more actions menu in the Goal.
2. Choose the remove-from-goal action when available.
3. Confirm that the item disappears from the Goal.
4. Verify progress if the removed item affected task counts.

Read Goal Progress

• Milestone progress uses done versus total tasks under that milestone.

• Linked List progress uses done versus total tasks in the List.

• Linked Task progress follows the Task status.

• The top Goal progress combines connected work across milestones and linked items.

• Mobile stacks the same information and uses scrollable selection dialogs.

• Dragging milestones on touch devices requires a deliberate hold to reduce accidental reordering.

Troubleshooting

A List or Task is not found in the selector

• Symptom: Search returns no result for the item you want to link.
• Cause: The item may be in another Space, archived/deleted, private, or inaccessible to you.
• Resolution:
  1. Confirm the active Space.
  2. Search by full or partial item name.
  3. Ask the owner or Space admin to confirm access.

Milestone deletion removed more than expected

• Symptom: A milestone and its nested content are no longer visible.
• Cause: Deleting a milestone removes that milestone relationship from the Goal view.
• Resolution:
  1. Confirm whether the linked Lists or Tasks still exist separately.
  2. Re-link any work that should remain under the Goal.
  3. Use delete actions only after reviewing nested content.

Progress did not change after linking work

• Symptom: The Goal percentage looks the same.
• Cause: The linked item may not contain tasks, may have no completed tasks, or sync may still be updating.
• Resolution:
  1. Expand the linked item and check task counts.
  2. Confirm task statuses.
  3. Refresh after a short wait.
