Use CRM tabs, tasks, and comments
CRM record tabs separate profile details from follow-up work and discussion. Use General for fields, Tasks for tracked work, and Comments for notes or conversation tied to the selected Contact or Company.
Before you start
- You need access to CRM and the selected record.
- Editing General fields requires CRM edit access.
- Creating follow-up Tasks requires List/Task create access.
- Adding Comments requires comment access for the selected CRM record.
Tab Reference
| Tab | What it contains | Important behavior |
|---|---|---|
| General | Contact or Company fields, owner, assignees, tags, and notes. | Read-only without edit access. |
| Tasks | CRM follow-up Tasks. | Includes + Task, Pending/Completed filters, and Task cards. |
| Comments | Notes and discussion attached to the record. | Uses the shared comments editor and respects comment access. |
Add a CRM Follow-Up Task
- Open a Contact or Company.
- Select the Tasks tab.
- Select + Task.
- Choose the target List.
- Enter the Task name.
- Select + Create Task.
Expected outcome: the Task is created in the selected List and connected to the CRM record. It appears under Pending or Completed based on its status.
CRM Tasks Reference
| Control | What it does | Notes |
|---|---|---|
| + Task | Opens quick task creation. | Disabled without create access. |
| List selector | Chooses where the Task will live. | Required for creating the follow-up Task. |
| Task name | Captures the follow-up action. | If blank, the app can use the default create-task text. |
| + Create Task | Creates the Task. | Save happens after selecting the button. |
| Pending filter | Shows incomplete follow-up Tasks. | Desktop uses a button group. |
| Completed filter | Shows completed follow-up Tasks. | Mobile uses a dropdown-style control. |
| Task card | Opens or expands the Task details. | Task behavior follows the standard Task rules. |
| No related task state | Shows when the selected filter has no Tasks. | Add a Task or switch filters. |
Use CRM Comments
- Open a Contact or Company.
- Select Comments.
- Enter a note, update, or question.
- Use a Task instead if the comment creates a clear action item.
Expected outcome: the comment stays attached to the selected CRM record.
- Mobile opens the selected record in a full-screen dialog and tabs can be swiped.
- The Tasks filter is a Pending/Completed button group on desktop and a menu control on smaller screens.
- Quick Task creation opens in a small popup on desktop and a larger focused view on mobile.
Troubleshooting
Tasks tab is empty
- Symptom: You see No related task.
- Cause: No follow-up Tasks exist for the selected record or the active filter is hiding them.
- Resolution:
- Switch between Pending and Completed.
- Confirm you selected the correct Contact or Company.
- Add a follow-up Task if one is needed.
You cannot create a CRM Task
- Symptom: + Task is disabled or creation fails.
- Cause: You may lack List/Task create access, or no target List is selected.
- Resolution:
- Ask a Space admin to confirm List/Task create access.
- Select a valid List.
- Enter a clear Task name and create again.
Comments are read-only
- Symptom: The Comments tab opens but you cannot add a comment.
- Cause: You may not have comment access for the CRM record.
- Resolution:
- Ask the owner or Space admin to confirm CRM comment access.
- Use Chat only for general discussion if a comment does not need to stay attached to the record.
A Task or comment is attached to the wrong record
- Symptom: Follow-up appears under the wrong Contact or Company.
- Cause: The wrong record was selected before adding it.
- Resolution:
- Open the correct record.
- Recreate or move the follow-up if the app supports it.
- Add a clarifying comment if the incorrect item cannot be moved immediately.
