Share work outside the app
Sharing lets you make selected lists, docs, and whiteboards available outside the signed-in app. Use public links when someone needs read-only review access without becoming a Space member.
Use sharing when you need to:
- Publish a list, doc, or whiteboard to a public read-only page.
- Copy a public link for an external reviewer.
- Customize the public URL when allowed.
- Turn public access on or off.
- Use private member sharing when only Space members should have access.
- Troubleshoot public pages that show missing content.
Terms you may see:
- Public link is a web URL that opens a read-only page.
- Publish to web controls whether the public link is active.
- Copy link copies the current active public URL.
- Customize URL changes the public slug when your plan and permission allow it.
- Private member sharing gives selected Space members access without making the item publicly reachable.
- Public viewer is anyone opening the public URL outside the signed-in app.

Before you start
- You need settings access for the item you want to share.
- The app must be online to create, update, customize, or disable a public link.
- Public sharing and custom URLs can depend on plan availability.
- The item must not be archived or deleted.
- Public list, doc, and whiteboard pages are for viewing, not editing.
How public sharing works
- Open the list, doc, or whiteboard.
- Open the item share settings.
- Turn on Publish to web.
- Wait for the public URL to be created.
- Select Copy link.
- Send the link to the intended viewer.
- Turn off Publish to web when public access should stop.
Expected outcome: Anyone with the active public link can open the read-only public page while the item still exists and public access remains enabled.

Choose public or private sharing
Use a public link when:
- The viewer is not a Space member.
- The content is safe for external read-only review.
- The viewer does not need comments, edits, or member permissions.
Use private member sharing when:
- The viewer is a Space member or should become one.
- You need role-based access.
- The item should not be publicly reachable.
- The viewer needs editing or collaboration access.
Stop public access
- Open the item share settings.
- Turn Publish to web off.
- Confirm the public page no longer needs to be available.
- Tell viewers the old link is inactive.
Troubleshooting
A public page shows missing content
- Symptom: The viewer opens the link but sees a missing-content message.
- Cause: The link may be inactive, the URL may be wrong, the item may be archived or deleted, or the public URL may have changed.
- Resolution:
- Open the original item in the app.
- Confirm Publish to web is on.
- Confirm the item is not archived or deleted.
- Copy the link again.
- Send the newly copied link.
Share controls are disabled
- Symptom: Publish, Copy link, or Customize URL cannot be used.
- Cause: You may be offline, lack settings access, or the plan may not include the action.
- Resolution:
- Confirm the app is online.
- Ask a Space owner/admin to confirm your access.
- Ask a billing admin to confirm plan availability if an upgrade prompt appears.

Do public links require sign-in?
Public list, doc, and whiteboard links are intended to open without sign-in.
Can public viewers edit shared work?
No. Public pages are read-only.
Can public access be stopped later?
Yes. Turn off Publish to web from the item share settings.
