Manage your subscription, plan, and usage
Plans & Billing shows the subscription, plan, usage, payment, and invoice controls available to your account or Space.
Billing and usage review should answer these questions:
- Choose a plan or start a free trial.
- Review subscription status and renewal details.
- Change, cancel, resume, or restart a subscription when those controls are available.
- Check usage limits for Spaces, users, Lists, Tasks, Docs, Whiteboards, Dashboards, Goals, custom templates, and automation-related usage.
- Manage payment methods, billing address, pending invoices, upcoming invoices, and invoice history when supported.
- Restore or manage App Store and Google Play subscriptions from an installed app.
Terms you may see:
- Active or trialing subscriptions usually keep paid access enabled.
- Canceled or expired subscriptions may keep access only until the displayed end date or may require a restart.
- Payment due means the payment provider requires action before normal billing can continue.
- Usage rows show the current count, plan limit, progress, and whether the feature is on, off, or unavailable.
- Store-managed subscriptions are controlled by App Store or Google Play. The app can restore and link to store management, but cancellation and payment changes happen in the store account.
Before you start
- You need billing access for the account or Space.
- Internet access is required for checkout, payment methods, invoices, restore purchase, and store subscription management.
- Payment method and invoice sections appear only when the billing provider supports them.
- Some controls are shown only to owners/admins or to the account that purchased the subscription.
How billing and plan state work
- Open Plans & Billing.
- Billing refreshes subscription and provider data.
- If you already have a subscription, the page shows the active plan and status controls.
- If you do not have a subscription, the page shows available plans, plan intervals, currency selection, free-trial messaging, and checkout buttons.
- Select Usage to inspect limits before choosing or changing a plan.
- Complete any checkout, store, payment, invoice, cancellation, or confirmation step.
- Billing refreshes again after the action.
Expected outcome: You know the current plan state, what is included or limited, and which action is safe to take next.
When an active or recent subscription exists, Billing can show:
- Subscription Plan: the active plan section.
- Plan product name.
- Price and interval, such as per Month or per Year.
- Usage: opens the usage limit dialog.
- Change Plan: opens available plan choices for changing from the current plan.
- Resume Subscription: appears when cancellation is scheduled and can be reversed.
- Restart Subscription: appears when no active base subscription is available but restart is supported.
- Cancel Subscription: opens the cancellation flow for the selected plan.
Status messages can include:
- Renews with the next renewal date.
- Free trial ends at: with the trial end date.
- You canceled your subscription. It expires on with the access end date.
- You canceled your subscription. Your free trial expires on with the trial end date.
- Expired: with the expiration date.
- Your subscription payment is due.
Available plan section
When plan selection is available, Billing can show:
- Claim your free trial.
- Monthly and Yearly plan selectors when both intervals are available.
- Currency selector when more than one currency is available.
- Plan cards sorted by display order.
- Plan name.
- Optional plan badge.
- Current price and interval.
- Struck-through previous price when a discount is shown.
- Get Started when a free trial is available.
- Get {name} when selecting a paid plan without a trial.
- Select when choosing a different plan from a change-plan flow.
- Compare plans when a public pricing comparison is available.
Change plan and update confirmation
The change-plan flow can show:
- Change Plan: full-page plan selection.
- Update Subscription Plan: confirmation dialog after selecting a new plan.
- Confirm Update: applies the selected change.
- Cancel: closes the confirmation without changing the plan.
Use this flow when you want to switch to a different available plan. Review the selected price, interval, and any trial message before confirming.
Cancel subscription confirmation
The cancellation flow can show:
- Cancel Subscription.
- Are you absolutely sure?
- Confirmation instructions asking you to type Cancel Subscription.
- Placeholder Type: Cancel Subscription.
- Confirm to continue cancellation.
- Cancel to keep the subscription unchanged.
Only confirm cancellation when the Space should lose paid access at the end of the billing period or immediately if the payment provider requires that behavior.
Usage dialog
Select Usage to review plan limits. Each row can include:
- Feature label.
- Limit description, such as Usage: {limit} or Unlimited.
- Current usage in the form
current / limit. - A progress bar when a numeric limit exists.
- Status text: on, off, or unavailable.
Tracked usage can include:
- Spaces.
- Active Users.
- Lists.
- Task & Subtask.
- Docs.
- Whiteboard.
- Dashboard.
- Goal.
- Custom templates.
- Automation-related usage when available.
Usage-count reference:
- Spaces count owner-created Spaces, including archived Spaces, and exclude deleted Spaces.
- Lists exclude deleted Lists and the system root collection.
- Tasks count stored Tasks and Subtasks in owner Spaces.
- Docs count stored Docs in owner Spaces.
- Whiteboards count stored Whiteboards in owner Spaces.
- Dashboards count user-created Dashboards and exclude system Dashboards.
- Goals count top-level Goals and exclude deleted Goals and child milestones.
- Custom templates count saved templates connected to owner Spaces.
- Deleted items and items owned by another account do not count for that owner.
Payment methods
When payment methods are available, the section can show:
- Payment Methods.
- Saved card brand and last four digits.
- Expires: month/year.
- Default badge for the default payment method.
- Three-dot menu with Set as Default and Delete.
- No Payment Methods when no saved method is available.
- + Add New Card to add a card.
- Add New Card dialog.
- Add Payment Method to save the card.
- Cancel to close without saving.
During card setup, Billing can show:
- Please wait… Securing your payment information.
- Please wait… Verifying and saving your card details.
Billing address
When billing address is available, the section shows Billing Address and an Update action. The address form uses the payment provider’s secure billing address fields.
Invoices and upcoming payments
Billing can show pending, upcoming, and historical invoice information:
- Amount Due.
- Action.
- Invoice Number.
- Download.
- Pay Now for payable invoices.
- Next Invoice with amount and date when there are no pending invoices.
- Discount applied when a discount is applied to the upcoming invoice.
- Invoice history with Date, Invoice Number, Amount Due, Status, and download action.
- Status values: Paid, Draft, and Void.
Usage-based add-ons
When a usage-based add-on is available, Billing can show:
- Add on.
- Add-on product name.
- Usage-based billing.
- Tier rows with per-unit pricing and ranges such as up to {count} units or thereafter.
- Enable Add-On when the add-on is available but not active.
- Cancel when the add-on is active.
- Renewal, cancellation, or expiration messages for active add-ons.
App Store and Google Play billing
In the installed mobile app, Billing can show:
- App Store Plans or Google Play Plans.
- Restore Purchase to sync a previous purchase.
- Manage Subscription to open the store subscription page.
- Monthly and Yearly selectors.
- Store plan title, price, description, and feature list.
- A checked indicator for the active store plan.
Store notifications can include:
- Purchase successful.
- Purchase failed.
- Restored successfully.
- Restored failed.
Start a free trial or choose a plan
- Open Plans & Billing.
- Confirm whether Claim your free trial is shown.
- Choose Monthly or Yearly if both are available.
- Choose the currency if a selector is shown.
- Review plan cards and any badge, discount, or comparison link.
- Select Get Started or Get {name}.
- Complete checkout.
- Return to Billing and confirm the subscription is active or trialing.
Change an existing plan
- Open Plans & Billing.
- In Subscription Plan, select Change Plan.
- Review available plans.
- Select the target plan.
- Review Update Subscription Plan.
- Select Confirm Update to apply the change.
- Confirm the plan and renewal details after Billing refreshes.
Cancel a subscription
- Open Plans & Billing.
- Select Cancel Subscription or Cancel for the relevant plan or add-on.
- Read the confirmation message.
- Type Cancel Subscription when requested.
- Select Confirm.
- Confirm whether Billing now shows an expiration or cancellation message.
Resume or restart a subscription
- Open Plans & Billing.
- Use Resume Subscription if cancellation is scheduled but the plan should continue.
- Use Restart Subscription if the subscription is no longer active and the page offers restart.
- Complete any plan or checkout step.
- Confirm Billing shows active access after the refresh.
Add or change a payment method
- Open Plans & Billing.
- Go to Payment Methods.
- Select + Add New Card.
- Enter the payment details in the secure form.
- Select Add Payment Method.
- If multiple cards are listed, open the three-dot menu on the preferred card and choose Set as Default.
Pay or download an invoice
- Open Plans & Billing.
- Review pending invoices or invoice history.
- Select Pay Now for a payable invoice.
- Select the download icon to download an invoice PDF.
- Use Invoice Number when contacting support about a charge.
Restore a mobile app purchase
- Open Plans & Billing from the installed app.
- Select Restore Purchase.
- Wait for the restore result message.
- If the plan still does not update, confirm you are signed in to the same App Store or Google Play account that made the purchase.
- Use Manage Subscription to review the subscription directly in the store.
Troubleshooting
Usage is at or near the limit
- Symptom: A feature is blocked, or Usage shows a high progress bar.
- Cause: The current plan limit may be reached or nearly reached.
- Resolution:
- Open Usage and find the related row.
- Reduce usage by removing or archiving items only when that is appropriate for your team.
- Choose a plan with a higher limit if available.
- Ask the owner/admin to manage billing if you cannot change the plan.
A Usage row says off or unavailable
- Symptom: A Usage row shows off or unavailable.
- Cause: The feature may be disabled for the current plan or hidden by provider entitlement settings.
- Resolution:
- Confirm the correct subscription is active.
- Review available plans.
- Ask an owner/admin to update the plan if the feature is needed.
- Contact support if the feature should be included but remains unavailable.
Payment method cannot be saved
- Symptom: Add Payment Method stays disabled, loading does not finish, or the card is not saved.
- Cause: Payment fields may be incomplete, provider verification may fail, or the network may be unavailable.
- Resolution:
- Complete all required card fields.
- Check the provider message in the payment form.
- Confirm you are online.
- Retry once.
- Report the issue with the billing provider message shown.
Invoice payment is due
- Symptom: Billing shows Your subscription payment is due. or pending invoices.
- Cause: The payment provider has an unpaid invoice or failed payment.
- Resolution:
- Open Plans & Billing.
- Check Payment Methods and add or set a valid default card.
- Select Pay Now on the pending invoice.
- Refresh Billing after payment.
App Store or Google Play purchase is missing
- Symptom: The installed app does not show the plan after purchase.
- Cause: The purchase may not be restored or may belong to a different store account.
- Resolution:
- Select Restore Purchase.
- Confirm the restore success or failure message.
- Check the store account used for the purchase.
- Open Manage Subscription and confirm the subscription is active in the store.
- Report the issue with store name, purchase account, and the restore result message.
Cancel or resume is not available
- Symptom: You do not see Cancel Subscription, Resume Subscription, or Restart Subscription.
- Cause: The action may not be supported for the current provider, current status, or your role.
- Resolution:
- Confirm whether billing is web-managed, App Store-managed, or Google Play-managed.
- Use Manage Subscription for store-managed plans.
- Ask the owner/admin to review billing if you do not have access.
- Contact support if the action should be visible for the current plan.
Billing is not configured
- Symptom: Billing shows Billing not configured, Please contact support.
- Cause: Billing provider data is not available for the current app setup.
- Resolution:
- Confirm you are using the expected app and account.
- Retry after refreshing.
- Contact support with the account email and Space name.
FAQ
Should I use Change Plan or Restart Subscription?
Use Change Plan when an active subscription exists and you want a different plan. Use Restart Subscription when access is no longer active and the page offers a restart path.
What happens when I cancel?
Billing shows the cancellation or expiration date when available. Access can continue until that date depending on the provider and subscription status.
Why does Billing show App Store or Google Play instead of card and invoice details?
The installed mobile app can use store-managed subscriptions. Store purchases are managed through the store account, so card, cancellation, and receipt controls may live in App Store or Google Play instead of the web Billing page.
Are usage limits counted across archived Spaces?
For the current owner, archived Spaces and their stored items can count. Deleted items and items owned by another account do not count for that owner.
Do paid plans remove all limits?
Not always. Some paid plans still have limits. Open Usage to see the current count and the limit for each tracked feature.
