Plan visually with Whiteboards

Whiteboards are visual canvases for brainstorming, diagrams, planning, and sketches inside a Space. Use a Whiteboard when a written Doc or task List is not the best way to explain relationships, options, or a draft plan.

Use Whiteboards to:

  1. Brainstorm ideas before the plan is structured.
  2. Draw diagrams, flows, and relationships.
  3. Collaborate visually with people who have access.
  4. Share a read-only public canvas when public sharing is enabled.
  5. Restore earlier versions when needed.

Before you start

  • You need access to the Whiteboard or the Collection/folder where it lives.

  • Creating or editing a Whiteboard requires create or edit access.

  • Collaboration and uploaded assets require network connectivity.

  • Public links and private access controls depend on Space settings, plan availability, and permissions.

  • Mobile and touch devices work best for quick review or simple edits.

  • Large canvases can be harder to navigate on small screens.

Troubleshooting

Whiteboard is read-only

  • Symptom: You can open the canvas but cannot edit objects.
  • Cause: You may have view-only access or the Whiteboard may be opened through a public read-only link.
  • Resolution:
    1. Confirm you are in the signed-in app, not a public viewer.
    2. Ask the owner or Space admin for edit access.
    3. Refresh after access changes.

Canvas changes do not sync

  • Symptom: Collaborators do not see updates.
  • Cause: Network connectivity, stale session state, or access mismatch can block sync.
  • Resolution:
    1. Confirm all collaborators are online.
    2. Confirm everyone opened the same Whiteboard in the same Space.
    3. Refresh after a short wait.
