Save and reopen Favorites
Favorites are personal shortcuts to the work you open often. They help you return to important folders, lists, tasks, docs, whiteboards, dashboards, goals, and other supported items without browsing through Collections each time.
Use Favorites when you need to:
- Keep active work within reach.
- Reopen important items from any page.
- Move between work in different Spaces faster.
- Build a personal shortcut list without changing how the Space is organized for everyone else.
Terms you may see:
- Favorite means the item is saved for your account only.
- Favorites list is the shortcut list shown from the app shell.
- Space name appears with a favorite when the shortcut belongs to a specific Space.
- Remove favorite removes only the shortcut. It does not delete, archive, or change the original item.
Before you start
- You must have access to the item you want to favorite.
- Some item types may not support Favorites yet.
- If access to the original item is removed, the favorite may no longer open.
How Favorites work
- Open the item you want to keep close.
- Use the item more menu, breadcrumb more menu, or supported action menu.
- Add the item to Favorites.
- Open Favorites from the sidebar, footer navigation, or Favorites dialog.
- Select the saved item to reopen it.
Expected outcome: The item is available as a personal shortcut without changing the item location, permissions, or Space structure.
Add an item to Favorites
- Open the folder, list, task, doc, whiteboard, dashboard, goal, or other supported item.
- Open the item more menu or breadcrumb more menu.
- Choose Add to Favorites or the star action when available.
- Open Favorites to confirm the shortcut appears.
Open a favorite
- Open Favorites from the sidebar, bottom navigation, or Favorites dialog.
- Review the item name and Space name.
- Select the favorite.
- Confirm the original item opens.
Remove a favorite
- Open Favorites.
- Open the more menu for the saved item when available.
- Choose the remove favorite action.
- Confirm the item is removed from your Favorites list.
Expected outcome: The shortcut disappears from Favorites, but the original item remains unchanged.
Reorder favorites
- Open Favorites in a view that supports reordering.
- Drag the favorite to the preferred position.
- Release it and wait for the order to save.
- Reopen Favorites to confirm the order remains.
Troubleshooting
Favorites is empty
- Symptom: Favorites opens, but no saved items appear.
- Cause: You have not saved any favorites yet, or the app has not synced your latest shortcuts.
- Resolution:
- Open an important item.
- Add it to Favorites from its more menu.
- Reopen Favorites after sync completes.
A favorite does not open
- Symptom: Selecting a favorite does nothing, opens an error, or shows no access.
- Cause: The original item may have been archived, deleted, moved, made private, or removed from your access.
- Resolution:
- Confirm you are in the correct signed-in account.
- Search for the item by name.
- Ask a Space owner or admin to confirm access.
- Remove the favorite if the item is no longer needed.
The favorite is in the wrong Space
- Symptom: You open a favorite and land in a Space you did not expect.
- Cause: Favorites can point to work across Spaces.
- Resolution:
- Check the Space name shown with the favorite.
- Switch Space manually if needed.
- Favorite the correct item from the correct Space.
Favorite order does not save
- Symptom: You reorder favorites, but the order changes back.
- Cause: The app may be offline, sync may still be pending, or the reorder action may not be supported in the current surface.
- Resolution:
- Confirm you are online.
- Reopen Favorites and try again.
- Use the desktop Favorites surface if touch reordering is unreliable.
FAQ
Do favorites change item permissions?
No. Favorites are shortcuts. They do not grant access, publish work, or change item permissions.
Can other people see my Favorites?
No. Favorites are personal to your account.
Does removing a favorite delete the item?
No. Removing a favorite removes only the shortcut from your list.
