Docs
Use Doc dialog actions
The Doc dialog is a focused surface for reading, editing, sharing, and managing a Doc without leaving the page that opened it. It can open from Collections, Search, a linked item, or a direct signed-in app link.
Before you start
- You need view access to open the Doc.
- Edit, settings, share, version, archive, and delete actions require the matching access.
- Some actions are disabled while offline.
Dialog Reference
| Area | Action | Expected result |
|---|---|---|
| Done | Closes the Doc dialog. | Returns to the previous page or list. |
| Title | Opens Settings when selectable. | Lets you rename and manage access. |
| Space subtitle | Appears when the Doc belongs to a different active Space context. | Helps prevent editing the wrong Doc. |
| More actions | Opens Share, Version History, Archive/Unarchive, and Delete when available. | Disabled actions indicate missing access or unsupported state. |
| Editor area | Read or edit Doc content. | Editing follows access and offline rules. |
| Loading state | Shows while the Doc is resolving. | Wait before retrying. |
| Item not found | Shows when the Doc cannot load. | Reload, check account/Space, or contact support. |
Settings Dialog Reference
| Control | What it does | Notes |
|---|---|---|
| Done | Closes Settings and saves supported name changes. | Wait for any loading state to finish. |
| Name field | Renames the Doc. | Disabled without edit access. |
| Owner row | Shows the owner. | If settings access is missing, a permission hint can appear. |
| No internet chip | Warns that network-only actions are unavailable. | Reconnect before changing share/private controls. |
| Public sharing section | Manages public read-only sharing when available. | Public sharing rules are covered in Create and manage public links. |
| Make Private | Restricts access to selected people when allowed. | May show an upgrade prompt if private access is not available. |
| Shared-with controls | Adds or removes specific users for private access. | Requires settings access and network connectivity. |
| Settings more actions | Archive/Unarchive or Delete the Doc. | Read confirmations before continuing. |
More Actions Reference
| Action | Use it when | Result |
|---|---|---|
| Share or Settings | You need to rename, manage public link, or manage private access. | Opens the Settings dialog. |
| Version History | You need to inspect or restore older content. | Opens a full-screen version history view. |
| Archive | The Doc is inactive but should be kept. | Moves it out of active Collections. |
| Unarchive | The Doc is archived and should return to active work. | Restores it to active visibility when allowed. |
| Delete | The Doc should be removed. | Sends it to deletion flow or recovery area when supported. |
Version History
- Open the Doc more actions menu.
- Select Version History.
- Review available versions and differences.
- Restore only when the selected version should replace the current content.
- Close the version view with Done.
Expected outcome: restored content becomes the current Doc content. If restore fails, the app shows an error and leaves the current content in place.
- Mobile can maximize the Doc and selection dialogs for editing space.
- The more actions menu stays in the header area, but labels can shorten on small screens.
- Browser or installed-app touch devices may suppress the native context menu so app controls remain usable.
Troubleshooting
More actions are missing or disabled
- Symptom: Share, Version History, Archive, or Delete is not available.
- Cause: Your role, the Doc state, offline state, or Space settings may block the action.
- Resolution:
- Confirm you are in the correct Space.
- Ask the owner or Space admin to confirm your access.
- Reconnect if the app shows no internet.
Settings closes but the title did not change
- Symptom: The title reverts after closing Settings.
- Cause: You may not have edit access, the app may be offline, or the save did not complete.
- Resolution:
- Confirm edit access.
- Reopen Settings and try again while online.
- Refresh and verify the title in Collections.
Item not found appears
- Symptom: The dialog shows the item not found message.
- Cause: The Doc was deleted, archived, inaccessible, or opened from an outdated link.
- Resolution:
- Reload once.
- Confirm account and Space.
- Search for the Doc by title.
- Ask the owner or Space admin to restore or share it.
